They help streamline operations for healthcare facilities, improve patient care, and allow healthcare professionals to focus more on their clinical responsibilities.

What tasks can a virtual medical assistant perform for my practice?

Our VMAs can handle various administrative tasks to help lower your expenses and give you more time to focus on your practice.

How does VMs ensure HIPAA compliance and protect my patient information?

Like any other medical practice, it is the physician’s responsibility to ensure that HIPAA-compliant practices are followed when working with contractors or employees. Our Virtual Medical Assistants (VMAs) are fully trained in HIPAA regulations. In addition, each of our HVAs undergoes a thorough background check. To ensure full compliance, our clients have each VMA sign a Business Associate Agreement (BAA) with them. Since our company does not have access to any Protected Health Information (PHI), we are not required to sign a BAA ourselves. There are two ways you can provide your virtual assistant with access to your Electronic Medical Records (EMR): Give them a direct username and password with restricted access to the system. Set up a computer in your office with your EMR system and allow your virtual assistant to access it remotely via desktop software.

What software or programs should I use when working with an HVA?

There are multiple ways to collaborate with a VMS, and the tools you choose will depend on the specific tasks you need assistance with. Our VMAs can work with the software you are already using in your practice. They can be trained briefly on how to navigate the software in accordance to their specific task for your clinic.

What makes your Healthcare Virtual Assistants® unique?

VMS Healthcare Virtual Assistants are special for several key reasons, primarily because they are specifically trained and skilled to meet the unique demands of the healthcare industry. Here’s why they stand out: 1. Industry-Specific Expertise Healthcare Virtual Assistants® (HVAs) are trained in medical terminology, healthcare procedures, and the specific workflows of medical practices. This enables them to provide highly specialized support in areas such as: Medical Transcription: Accurately transcribing medical dictations and patient records. Patient Charting: Assisting with electronic health records (EHR) entry, ensuring compliance with industry standards. Insurance and Billing Support: Assisting with claims, coding, and billing tasks, reducing errors and improving revenue cycle management. This industry knowledge ensures that HVAs can hit the ground running, requiring less training and oversight compared to a general virtual assistant who may need to learn these specialized terms and processes. 2. HIPAA Compliance One of the biggest concerns in healthcare is patient confidentiality and compliance with regulations like the Health Insurance Portability and Accountability Act (HIPAA). Healthcare Virtual Assistants® are trained on HIPAA guidelines and data protection protocols, ensuring that they handle sensitive patient information securely and appropriately. Secure communication: HVAs use encrypted channels and secure systems to communicate and manage patient data. Confidentiality: They are skilled at maintaining privacy and confidentiality in all aspects of their work, mitigating the risks of data breaches or privacy violations. 3. Familiarity with Healthcare Software and Systems Healthcare practices often rely on specific practice management software and electronic health record (EHR) systems. Healthcare Virtual Assistants® are trained and familiar with these tools and can help you manage patient records, schedule appointments, and process insurance claims without needing significant hand-holding. Common software familiarity: They often work with popular healthcare tools like Epic, Cerner, Kareo, and Athenahealth, allowing for a seamless integration into your practice's existing workflows. Reduced training time: Because of their familiarity with these systems, HVAs can be integrated quickly and effectively into your practice, saving you time and resources. 4. Tailored Support for Healthcare Providers Healthcare Virtual Assistants® understand the unique challenges faced by healthcare professionals, such as: Handling patient inquiries: They can answer patient questions about appointments, insurance, or prescriptions without the need for direct involvement from your medical staff. Appointment Scheduling: HVAs can manage appointment bookings, cancellations, and reminders, ensuring that patient schedules run smoothly and that no appointments are missed. Efficient Workflow Management: They assist in streamlining administrative tasks like data entry, transcription, and patient follow-ups, which frees up your in-house staff and allows your practice to run more efficiently. 5. Flexibility and Scalability Healthcare Virtual Assistants® offer the flexibility to scale based on the size and needs of your practice: Part-time or full-time availability: They can work based on the specific needs of your practice, whether that’s a few hours a week or full-time support. Adaptable to different specialties: Healthcare Virtual Assistants® can work across a range of specialties, whether you’re a general practitioner, a dentist, a chiropractor, or a medical specialist, ensuring you get support tailored to your field. 6. Cost-Effective Solution Healthcare Virtual Assistants® can help reduce overhead costs associated with hiring full-time, in-house administrative staff. This can be especially beneficial for smaller practices that may not have the resources to employ a large support team. By outsourcing administrative tasks to a Healthcare VA: You can cut operational costs without sacrificing the quality of service. You can scale your workforce as needed, allowing for a flexible, cost-effective solution. 7. Time-Saving and Focus on Patient Care By delegating time-consuming administrative tasks to Healthcare Virtual Assistants®, your in-house team can focus more on patient care and clinical duties. The HVAs handle: Transcription: Providing accurate medical transcription without the burden on your clinical staff. Patient communication: Answering routine patient queries, scheduling appointments, and following up on post-appointment care. Document management: Ensuring patient records are updated promptly and accurately in EHR systems. This helps reduce burnout among your staff and improves patient satisfaction by allowing medical professionals to spend more time with patients. 8. High-Level Customer Service Healthcare Virtual Assistants® are often trained in customer service specifically for the healthcare setting. This means they can: Handle patient calls with empathy and professionalism, ensuring patients feel heard and supported. Maintain a professional demeanor while managing sensitive issues like insurance questions, billing concerns, or appointment changes. 9. Remote and 24/7 Availability Many Healthcare Virtual Assistants® work remotely, providing the flexibility to cover different time zones or extend working hours beyond the regular business day. This can be especially helpful for practices that need: After-hours support: Having a VA handle administrative tasks after business hours ensures that no work is left undone and that patients can still receive timely communication. Global coverage: Because they can work remotely from anywhere in the world, Healthcare VAs can cover multiple time zones and ensure your practice runs smoothly around the clock.
